Join the momentum. We are currently seeking a Senior Administrative Assistant to join our growing Administration team. MNP is a leading national accounting, tax and business consulting firm in Canada. Strategically supporting the firm, our Administration team anticipates the needs of our team members and Partners. We effectively communicate information for service lines, industry and specialty groups, and operations at all levels throughout the firm. Our administrators support initiatives and ensure efficiency, allowing MNP to better serve our clients and people.

 

RESPONSIBILITIES AND QUALIFICATIONS

Performance Expectations

  • Provide administrative support to a team including, but not limited to, preparing correspondence, scheduling meetings, booking boardrooms, maintaining schedules, client contact information, coordinating travel arrangements and completing expense reports
  • Generate weekly WIP and AR reports, meet with Partner and Senior Managers to review, followed by invoicing and WIP adjustments, distribute invoices to clients and follows up with outstanding accounts
  • Create, format, edit and finalize standard and non-standard proposals, general templates, letters, reports, engagements, correspondence, spreadsheets and presentations using Word, Excel, PowerPoint, Visio and other practice specific software applications (i.e. CaseWare, CaseView, Profile, Trackers, etc.)
  • Organize and expedite the flow of work through the Partner’s office, initiating follow up action
  • Attend meetings to record and transcribe minutes of meetings
  • Assist in the preparation of regularly scheduled reports
  • Respond to internal and external requests for assistance, directing inquiries as appropriate
  • Plan, organize and coordinate business/practice development related social events and functions
  • Organize and maintain electronic filing system and acts as key contact for records management
  • Create, maintain and update spreadsheets
  • Help in the creation of presentations
  • Record minutes at various meetings and distribute or archive them accordingly
  • Manage and coordinate multiple calendars
  • Maintain electronic and paper filing systems

Credentials

  • A post-secondary degree or diploma in office administration
  • Minimum 3 to 5 years of experience as an Administrative Assistant
  • Strong computer literacy, including effective working skills of Microsoft Word, Excel, PowerPoint and Outlook.
  • Proven track record of showing initiative and working independently with minimal supervision
  • Excellent communication (verbal and written) and interpersonal skills
  • Exceptional attention to detail, efficient and organized
  • Ability to work well independently and collaboratively within a team environment
  • Strong organization and time management skills to effectively prioritize and meet deadlines
