    Join the momentum. We are currently seeking an Executive Assistant to join our growing Administration team. MNP is a leading national accounting, tax and business consulting firm in Canada. Strategically supporting the firm, our Administration team anticipates the needs of our team members and Partners. We effectively communicate information for service lines, industry and specialty groups, and operations at all levels throughout the firm. Our administrators support initiatives and ensure efficiency, allowing MNP to better serve our clients and people.

     

    RESPONSIBILITIES AND QUALIFICATIONS

    POSITION SUMMARY:

    Key responsibilities:

     

    • Maximizes the value of Executive Vice President’s time by proactively identifying and taking accountability for all administrative matters
    • Facilitates communication from Regional Managing Partners (RMPs), Service Line Leaders and lead internal groups
    • Operates with a large degree of autonomy and independently completes high quality work to meet established goals
    • Handles highly sensitive and confidential information requiring a high level of discretion
    • Understands business needs, manages services delivery, mitigates issues, and brings solutions
    • Actively develops knowledge of our external clients (i.e., market intelligence) to enable high-quality client deliverables and focus on proactively enhancing service excellence
    • Attends internal MNP courses to further develop knowledge

    RESPONSIBILITIES AND QUALIFICATIONS

    Performance Expectations

     

    • Manage local schedule daily, weekly, monthly, and varying activities of the EVP; follow up on requests.
    • Manage regional travel schedule including booking flights, trains, hotels, rental cars.
    • Extensive scheduling of appointments related to regional visits including booking appointments in the regions and following up on requests from the regions
    • Maintain master list of meetings required in the regions
    • Organize special events and team activities for the Leadership Team. For example, coordinate agendas, follow up items from team meetings, communicate plans and activities on behalf of the EVP.
    • Prepare and host various meetings/events - print materials, book & prepare room, order catering, set up/clean up etc.
    • Organize meeting materials and key documents based on specifications from the EVP
    • Liaise with all levels and departments of the company and represent the EVP in a positive and professional manner
    • Coordinate, prepare, create, edit and proofread standard and non-standard documents such as correspondence presentations and reports using MS Office Suite and proprietary software
    • Review incoming communications, including emails, calls and post; where appropriate, summarize, prepare responses and/or redirect to the appropriate person/department
    • Record minutes at various meetings, distributes and archives them accordingly
    • Complete and ensure timely submission of expense and mileage reports for the EVP
    • Review expense reports for EVPs region and follow up for payment
    • Other administrative duties as required include filing, photocopying, faxing and handling service issues.

     

    Credentials

    • 5 + year’s experience as an Executive Assistant
    • Experience in professional services is an asset
    • Completion of related post-secondary education in administration
    • Maintains a positive atmosphere and fosters an open-door philosophy
    • Excellent communication skills, both verbal and written
    • Strong organizational skills
    • Ability to handle confidential information in a tactful and professional manner
    • High attention to detail and the ability to multi-task and prioritize
    • Good sense of urgency
    • Ability to work well independently with minimal supervision
    • Maintain a courteous and professional manner
    • Ability to exercise sound judgement
    • Tactful and able to manage various personality types
    • PC skills including the ability to use and troubleshoot standard business programs & extensive Microsoft Outlook (Word, Outlook, Excel and PowerPoint) experience is a requirement
