    Join the momentum. We are seeking a Scheduling Administrator for our growing team. MNP is a leading national accounting, tax and business consulting firm in Canada. Strategically supporting the firm, our Administration team anticipates the needs of our team members and Partners. We effectively communicate information for service lines, industry and specialty groups, and operations at all levels throughout the firm. Our administrators support initiatives and ensure efficiency, allowing MNP to better serve our clients and people.

     

    RESPONSIBILITIES AND QUALIFICATIONS

    Performance Expectations

    • Responsible for all data entry related to producing a schedule accurately, including daily updates
    • Assign engagements to team members based on budget, level of preparer and fit as appropriate
    • Performs ongoing analysis of resource allocations to optimize efficiency within workflow
    • Coordinate weekly scheduling meetings and follow-up on unresolved issues
    • Connect with team members weekly to ensure utilization and assign new work accordingly
    • Produce reports (ranging in complexity) from our practice management software
    • Monitor productivity reports and advise management team of anomalies
    • Ensure that work is allocated evenly among team members and assign work accordingly when continuity on jobs is required
    • Motivate others to follow processes and escalate issues/challenges as necessary
    • Manage team members vacation requests and schedule accordingly
    • Develop and maintain relationships with internal staff
    • Develop a thorough understanding of MNP’s services, businesses and industry
    • Contribute to the development of new ideas and approaches to improve work processes
    • Other duties and ad-hoc projects as assigned

    Credentials

    • Completion of related post-secondary education in administration is an asset
    • Two (2) to four (4) years of prior experience as a scheduler, or related administrative experience
    • Experience in a professional services firm preferred
    • Experience in engagement management processes preferred
    • Proficient in MS Word, PowerPoint and Outlook; advanced Excel skills and familiarity with schedule planning or project management systems preferred
    • Excellent communication skills (both oral and written)
    • Ability to confidently connect at all levels in the organization using diplomatic communication skills
    • Strong organizational and time management skills
    • Ability to manage multiple tasks and leverage strong attention to detail
    • Thrives in a fast pace environment and is able to prioritize accordingly
